Privacy Policy
Last updated: October 24, 2026
This policy explains what personal information we collect, why, who handles it, and your choices. Nothing in it limits rights you have under applicable law. Also see the Terms of Service and the Refund and Cancellation Policy.
Who we are
Round Five Trivia is a product of Vibe2Viable LLC, a Virginia limited liability company, 8401 Mayland Dr, Ste A, Richmond, VA 23294. "We" and "us" mean Vibe2Viable LLC, which offers Round Five Trivia. We decide how the personal information in this policy is used. Email: [email protected].
What is live today
Before launch, the site has no working signup form, newsletter or checkout. We collect personal information only when you email us, and through the security and delivery systems described below. The sections on newsletters and payments describe what will happen when those features open. We will update this policy before they do.
Information we collect
Information you give us
- Email and messages. Your email address, name if you include it, and what you write when you email us, plus our replies.
- Signup details (when signups open). Your email address and, optionally, a venue name.
- Subscription details (when subscriptions open). Name, email, venue name, plan, renewal and cancellation status, and which packs we sent.
Billing information, handled by Stripe (when subscriptions open)
You will enter your card on Stripe's hosted page. We will not receive your full card number or security code. Stripe shares with us your name and email, a customer id and subscription status, card brand, last four digits and expiry, billing postal code or country, and whether charges, refunds or disputes succeeded.
Information created when we run the service
- Email delivery records. When we send email through Amazon SES, we receive delivery, bounce, complaint and rejection notices. We store the notice, the recipient address, and a suppression entry for addresses that hard-bounce or complain, so we stop emailing them.
- Consent records (when signups and subscriptions open). The wording you agreed to, where you agreed, which version, and when you confirmed.
- Security and connection data. Cloudflare, which hosts the site, processes your IP address, browser and device information, and the pages you request, to deliver the site and protect it from abuse. Cloudflare keeps its own logs under its own policies.
Information from public sources
We may note business contact details that venues publish themselves, such as a bar's public email address or website, and whether it runs a trivia night. We do this for individually reviewed US businesses only. Public availability is not consent: we will not add those addresses to marketing email. You can ask us to delete this information at any time. We keep it for no longer than 12 months from when we collected it, and we delete it sooner if you ask us to stop or if we decide not to contact that business. If you become a customer, your customer records are kept as described below.
Information we do not collect
We do not collect information about the people at your event. Please do not send us guest names, scores, ages or contact details. We do not collect government identifiers, precise location, biometrics or health information.
How we use information
- To answer your messages and provide what you asked for, such as the sample or, later, the subscription.
- To send service email, such as receipts, renewal notices, cancellation confirmations and pack delivery (once subscriptions open).
- To send marketing email only to people who opted in and confirmed (see Email, consent and unsubscribe).
- To bill, refund and keep tax and accounting records (once payments open).
- To keep email deliverable and stop emailing addresses that bounce, complain or opt out.
- To protect the site and our accounts from abuse, and to look into redistribution of paid packs.
- To meet legal obligations and respond to valid legal process.
We do not use your information for targeted advertising or advertising profiles, and we do not make solely automated decisions that have legal or similarly significant effects on you.
AI assistance
We run the service with an AI assistant (Grok Bot). It drafts packs and email and handles routine requests. To operate the service, it may process customer data: messages you send to [email protected] and the records described above. It uses that data only to run the service, and Vibe2Viable LLC remains responsible for that processing. We do not use your personal information to train AI models, and we do not permit our AI service providers to use customer data to train their models.
Service providers
These companies handle personal information for us, only to provide their services to us:
| Provider | What they do for us | Information they handle |
|---|---|---|
| Cloudflare | Hosts the website (Pages), runs our server code (Workers) and database (D1), protects forms from bots (Turnstile), and forwards mail sent to our address (Email Routing) | IP address, browser and device data, requested pages, form submissions, email delivery records, and mail sent to [email protected] |
| Amazon Web Services (Amazon SES) | Sends our email and reports deliveries, bounces and complaints | Recipient address, message content, and delivery events |
| Google (Gmail) | The mailbox where mail to [email protected] arrives and from which we reply | Messages you send us and our replies |
| Stripe (once payments open) | Hosted checkout, monthly charges, refunds, receipts, and the cancellation portal | Name, email, payment details you enter on Stripe, and billing records |
| AI agent service (see AI assistance) | Helps operate the service | Messages and records described above |
If we add a provider that handles personal information, such as a bookkeeper, we will list it here first. We may also disclose information when the law requires it, or to a successor if the business is sold or reorganized, in which case the successor must honor this policy and we will email affected customers.
No sale or sharing
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not let our providers use it for their own advertising. If your browser sends a Global Privacy Control signal, we treat it as an opt-out of sale and sharing, which we already do not do.
Email, consent and unsubscribe
- Service email (receipts, renewal and cancellation notices, pack delivery, replies to you) is part of what you asked for. Service email carries no offers or promotions.
- Marketing email (news and offers) will go only to people who opt in with an unticked box and then confirm by clicking a link we email them (double opt-in). Requesting the sample does not, by itself, add you to marketing email. We record the consent wording, where you signed up, the version, and when you confirmed.
- Every marketing email will identify Round Five Trivia and Vibe2Viable LLC, include our mailing address and a working unsubscribe link, and use a truthful subject line. Opting out is free and needs no account. We honor it within 10 business days, usually sooner, and the link keeps working for at least 30 days after we send. You can also opt out by replying or emailing [email protected].
- One suppression list covers all commercial email from Vibe2Viable LLC. Once you opt out, we keep a record of your address and the opt-out so we do not email you marketing again, even if your address is imported or added again later.
- Unsubscribing stops marketing email. It does not cancel a paid subscription or stop service email. To cancel a subscription, follow the cancellation steps.
We do not send cold marketing email.
How long we keep information
- Payment and tax records (once payments open): as long as tax and accounting law requires.
- Subscription and consent records: for the life of the subscription and as long afterward as automatic-renewal and consumer laws require us to be able to show what you agreed to.
- Marketing list: until you unsubscribe. After that we keep only the suppression record described above.
- Suppression records (opt-outs, hard bounces, complaints): kept so we do not email you again. We keep only the address, the reason and the date.
- Public business contact details: up to 12 months from collection, or sooner if you ask us to stop or we decide not to contact that business.
- Messages with us: as long as needed to help you and keep ordinary business records, unless you ask us to delete them and no exception applies.
- Cloudflare, Amazon Web Services, Google and Stripe keep their own logs and records under their own policies.
If a dispute, chargeback or legal claim is open, we keep the related records until it is resolved. When we no longer need information, we delete it or de-identify it.
Security
The site is served over HTTPS. Card data stays with Stripe. Access to our mailbox, our database and our provider accounts is limited to Vibe2Viable LLC and the tools it authorizes. No system is perfectly secure. If a breach requires notice under law, including Virginia's breach-notice law, we will notify affected people and any regulator the law names. We will never ask you to send a card number by email.
Your privacy rights
Wherever you live in the United States, you can ask us to:
- confirm whether we process your personal information and give you access to it;
- correct inaccurate information;
- delete information about you;
- give you a copy of the information you provided, in a portable format such as a CSV file; and
- confirm that we do not sell your information, share it for targeted advertising, or use it for profiling.
Email [email protected] and tell us what you want. Any subject line works. We verify requests using only what is reasonably necessary, usually by replying to the email address on our records. An authorized agent may ask on your behalf with your signed permission. We answer within one month, and always within the time the law where you live requires. If we need longer and the law allows it, we will tell you why.
We may keep information we are required to keep, for example tax records, records for an open dispute, or the suppression record that keeps your opt-out working. If we keep something, we will tell you what and why.
If we decline your request, you may appeal by replying to our answer. We will decide the appeal in writing within the time the law requires and explain why. If we deny an appeal, we will tell you how to complain to your state Attorney General (in Virginia, the Office of the Attorney General). We will not treat you differently for using these rights.
Children
The site and service are intended for adults 18 and older, and are not directed to children. We do not run an age check. We do not knowingly collect personal information from anyone under 18. If we learn that we have, we delete it. A parent or guardian who believes we have information about a child can email [email protected], and we will delete it and cancel and refund any subscription opened for the child.
Outside the United States
The service is offered in the United States only. We do not accept signups or subscriptions from outside the United States at this time, and we process information in the United States. If you contact us from elsewhere, we will still answer reasonable requests to access, correct or delete your information.
Changes
When we change this policy, we post the new version here with a new "Last updated" date and a short "What changed" note. If a change would use information we already hold in a materially different way, we will email the people affected before it applies to them.
